The Role

We are looking for a proactive and highly organized Administrative & Office Support to join our Madrid team. In this dual-impact role, you will be the backbone of our daily office operations while providing essential logistical support to our Marketing department. You will ensure our workspace runs like clockwork and play a key role in the success of our events and brand presence by managing promotional materials and merchandising.

What you’ll do…

  • Office Management: Supervise day-to-day office operations, ensuring a functional and welcoming workspace for the team.
  • Marketing & Events Support: Assist the Marketing team with the coordination of promotional materials, brochures, and merchandising. Provide hands-on logistical support for corporate events.
  • Logistics & Shipments: Handle all incoming and outgoing mail and courier shipments, including professional labeling, tracking, and dispatching.
  • Procurement & Finance: Manage office budgets and local contracts. Take ownership of processing all Madrid office invoices accurately and on time.
  • Supply Management: Maintain inventory and handle regular ordering of office supplies, including snacks, drinks, and stationery to ensure the team has everything they need.
  • Vendor Relations: Act as the main point of contact for local office providers and maintenance services.

What you’ll bring…

  • Mandatory Requirement: Legal certification of disability (Certificado de Discapacidad igual o superior al 33%).
  • Experience: At least 2 years of experience in office support, administrative roles, or marketing logistics.
  • Language Skills: Advanced level of English (C1 equivalent), as you will be communicating in a global environment.
  • Organizational Skills: A "problem-solver" mindset with the ability to prioritize multiple tasks and meet deadlines.
  • Attention to Detail: Precision in managing invoices and logistics to ensure zero errors in shipments and billing.
  • Tech Savvy: Proficiency in Microsoft Office (Excel, Outlook, Teams) and comfort learning new administrative tools.
